In the user account, you will enter an email to establish the user’s FOH login and set the POS and FOH account options. Additionally, you will assign the user’s POS PIN (if applicable). For POS users, a PIN is used to log into a terminal while a password is used to log into the web interface.
1. Go to Admin > Users.
2. Click the + icon (Add New Item).
3. In the Select a User Group field in the left pane, select the user group that best suits the role of the user.
4. Click Select Sites. The Select Sites screen appears.
5. Select a school type from the School Types drop-down list to filter the available schools.
6. Select the schools that you want to apply the change to and click Select.
7. Enter information in the following fields:
User Name
• Email:* Although an email address is not required for POS terminal access, you must enter a valid and unique email address for each user accessing the product via the web. The user will receive an email at the address you provide. The email will contain login instructions and steps for creating a password. For cashiers that do not have an email address, you can enter a format such as [cashier#]@[sitenumber].site.
EXAMPLE: 1@1234.site
• First Name:* Enter the user’s first name.
• Middle Name: Enter the user’s middle name.
• Last Name:* Enter the user’s last name.
POS Settings
• PIN: Enter a unique numeric PIN. The PIN can be a maximum of 15 digits. A PIN is required for POS access.
• Blind Balancing: Check this checkbox to prevent the user from viewing the balancing information when closing a till at the POS machine.
• Blind Balancing on Till Report: Check this checkbox to prevent the user from viewing the balancing information when printing the Till Report. Uncheck this checkbox for managers as they will need to be able to see if other users are over/short when performing Day End.
• Refund from POS: Check this checkbox to allow the user to perform refunds from POS.
System Options
• Active: Uncheck this checkbox to inactivate the user if no longer with the district.
• Days Active: Enter the number of days you want the user to be active in the system. Once the specified number of days has passed, the user account is inactivated and the user is not able to log on until the account is reactivated by the administrative user. The default value is 0 (zero), which means the user is active permanently. Districts can use this feature for substitute or temporary workers.
• Locked: After five unsuccessful login attempts, the user’s account will become locked. To unlock the account, uncheck this checkbox.
• Allow Login: Uncheck this checkbox to prevent the user from logging into the software.
• Receive Import/Export Failure Notifications: Check this checkbox to allow the user to receive import and export failure notifications. Notifications are sent via the built-in FOH messaging service.
8. Click Save.
