Task 1: Set Student Options

1.  In the Student Options section:

    To manually promote students to the next grade, check the Promote Students (Grade and School) checkbox. (When you check this checkbox, the Purge Graduates checkbox appears.) Optionally, you can use the information in the SIS import to place the students in the correct grade. Inactive graduate students will be purged.

The following tooltip appears when you hover over the “?” next to the Promote Students (Grade and School) field: If selected, this will promote students to the next grade and school. If not selected, all students will be left in their current grade and school.

    To purge all graduating students, check the Purge Graduates checkbox. Optionally, you can promote 12th graders to grade G to maintain a record of any outstanding liabilities and financial holds.

The following tooltip appears when you hover over the “?” next to the Purge Graduates field: If selected, all students graduating will be removed from the upcoming school year. These students will be available under Archived Student Records. If not selected, all students will be retained for the upcoming school year, and will have a grade of G.

    Instead of purging all inactive students, you can choose to purge only students who have been inactive for over 4 months by selecting Only Purge Students Who Have Been Inactive For Over 4 Months. This option helps to eliminate issues where students are inactivated in error, or they return to school after being inactivated.

The following tooltip appears when you hover over the “?” next to this field: If selected, students who have been inactive for more than 4 months will be removed from the upcoming school year. Students inactive for less than 4 months will remain in the upcoming school year. All purged students will still be available under Archived Student Records.

    Select Purge All Inactive Students to purge all inactive students.

The following tooltip appears when you hover over the “?” next to this field: If selected, any students marked as inactive will be removed from the upcoming school year. All purged students will still be available under Archived Student Records.

2.  In the Account Balance Options section:

    To keep the existing balance information, select Carry over all balances.

    To set all negative balances, select Set NEGATIVE balances to zero.

3.  Click Save.
