Create an integration map that matches the layout and content of your DC file.
• You will need a file layout, or description of the columns.
• You will need to know your matching criteria.
Note: If you must open the file to obtain the file layout, DO NOT open a.csv file in Microsoft Excel. Any leading zero will be truncated from the data, creating duplicate records. If you must open the file in Excel, first open Excel and then import the file’s content as text data.
1. Go to Admin > Definitions/Setup > Integration Maps.
2. Select New Map.
3. On the New Map screen:
• Select Import for the Job Type.
• Select Community for the Map Type.
• Click Create.
4. In the left pane, enter information in the following fields:
• Map Name: Enter the map name.
• File Type: Select the file type that matches the import file (Comma Separated, Tab Delimited, or User Defined).
• Begin on Line: You can optionally specify the line number on which to begin the import. If you do not specify the line number, the import will start on line 1. If your file has a header, select 2 to exclude the header data.
5. Click Select files to open your Windows browser. Browse to and open your import file.
6. For each field you need to add:
• Click Add Field to add a line item.
• Select the field you want to add.
State Eligibility will be visible in the list of fields if the Allow a Second Processing for Applications Using State Income Guidelines checkbox is checked for the school/district in the Free And Reduced section of the System Options page.
IMPORTANT! Your integration map MUST have the same number of columns that are in your file. The columns must appear in the same order. Add the fields in the order they appear in your file.
7. Based on your matching criteria, check the Match and Secondary Match checkboxes for the line items. If necessary, select more than one field for each. The criteria are treated as equal and distinct matches.
8. Click Save.
Balance Adjustment
A Balance Adjustment import will adjust the patron balance by adding or subtracting the imported value, as appropriate (importing 20.00 will add 20.00 to the current balance; importing -15.00 will subtract 15.00 from the current balance). You cannot add Balance and Balance Adjustment to the same map (they cannot be imported at the same time).
